#5 Sales orders


An order can be generated after a quote has been accepted and the appropriate status is included.   An order is a formal document that binds the corporation and its accessibility to management is important for customer service and deliver.  To further assist management, particular elements in a project are generated on the basis of an order.

Field descriptions

General information

  • Subject - a field that describes a sales order. 
  • Stage - this field specifies a stage of an order; after performing basic activities and proceeding to a closed stage, it allows to further undergo the sales process.
    • Waiting for preparation
    • Internal consultation required
    • External consultation required
    • Waiting for customer's reply
    • In preparation
    • Sent to Account
    • Declined - a rejection of an order closes an assigned opportunity and a rejection reason is required as is the case in a sales order (reason for acceptance).   An opportunity is closed only if there are no other active sales orders related to this specific opportunity. After selecting this status, a record cannot be modified [can enter data in related modules]. 
    • Accepted - after selecting this status, a record cannot be modified [can enter data in related modules].
    • Decisive factors - various conditions for unique created stages.

System information

  • Number - unique and automatic sales order number.
  • Created time - a system field that is automatically generated when a record is added. 
  • Modified time - a system field that is automatically updated each time a record is changed.
  • Closed time - a system field that is automatically entered when a record receives a final stage status [declined or accepted].
  • Updated - a system field that is entered automatically and indicates that a record owner read all changes performed on this specific record.


  • Realization start date - a calendar field that influences on reports and a realization of projects. 
  • Realization end date - a calendar field that influences reports and a realization of projects.

Relations to other modules

  • Opportunity - a field related to the Opportunities module [relation type 1:M - uitype10].
  • Quote - a field related to the Quotes inquiries module [relation type 1:M - uitype 10]

Sharing information

  • Users sharing - a list of users who can access this specific calculation. Inheritance works regardless of company organisational structure.
  • Information inheritance - if this checkbox is ticked, users specified in the field above will not only have access to an inquiry, but also to related information, e.g. comments, documents, emails.

  • Primary address
  • Delivery address

Descriptive information

  • Description - a text field with wysiwyg.
  • Comments - a text field with wysiwyg.
  • Conditions and arrangements - a text field with wysiwyg.

Products and services 

  • Product/Service name
  • Quantity
  • Estimated selling price
  • Estimated purchase/production price 
  • Margin - system field [percentile and valuable]
  • MenHours - number of man-hours required for a product/service to be produced/performed.
  • Total - a final price
  • A field with comments for a product or service
